Try Inventory Invoice freeEvery shop has some version of the udhaar notebook. A name, a number, a date, and a hope that it will be paid. It works for the first twenty customers. After that, the questions start: who owes the most? Who has not paid in two months? Did Sharma ji pay half last week or not?
The money is yours. The trouble is that you can't see it clearly enough to collect it.
Why a notebook stops working
- Payments get split. A customer pays ₹2,000 against a ₹5,000 bill, and the balance is now in someone's head.
- Nobody sees the age. A ₹500 balance from last week and one from four months ago look identical on a page.
- It is tied to one person. If you are away, the shop cannot answer "what does he owe?"
- There is no total. You cannot tell how much of your money is sitting with customers.
What good tracking looks like
- Every sale is an invoice with an amount and a customer name.
- Part payments are recorded against that invoice, so the balance is always exact.
- Dues are shown per customer and in total, so you see who owes the most.
- Age matters. Overdue by a week is a nudge; overdue by three months is a conversation.
- Any member of staff can look it up, not just the person who keeps the book.
A simple weekly routine
- Monday: open your outstanding list, sorted by amount.
- Call the top five. Most of your overdue money is usually in a handful of accounts.
- Record each payment the moment it arrives, against the right invoice.
- Look at who is newly overdue before it turns into a long-standing balance.
Ten minutes a week is enough once the list is accurate.
Quick answers
Is it rude to ask for payment? A clear statement of what is outstanding makes it easier: you are quoting a number, not making an accusation.
Should I stop credit to late payers? That is your call. Knowing the numbers is what lets you make it calmly.
What if the customer disputes the amount? An invoice-wise record with dates settles most disputes quickly.
